ReVia Ordering Intelligence

Type it, say it, or forward the email. We will turn it into an order you approve.

Most wholesale orders start as a message: a text from a lab manager, an email from purchasing, a voicemail left after hours. Somebody then retypes that message into an order form, and once in a while gets it wrong. Our ordering assistant does the retyping. It reads what you sent, matches it to your catalog and your pricing, drafts the order, reads it back to you, and submits it when you say yes. It is built on the OpenAI API, it works only from ReVia's catalog and your own account records, and it never places an order you have not confirmed.

What it does

Reads orders in any form. A typed list, a forwarded email, a text message, or a photo of a handwritten list. "Same as last time, plus five of the KPV" is a complete order.

Checks the order against your account. It knows your catalog, your pricing, your lot history and your shipping addresses. If you ask for a compound we do not carry, it says so. If you ask for a quantity that trips a minimum or a review threshold on your account, it tells you before you confirm.

Reads it back. Every line, every quantity, the ship-to address and the total, in plain words. You confirm, change or cancel. Nothing is submitted until you confirm.

Answers the questions a buyer actually has. Which lot is current. What a certificate says. Where a shipment is. What you paid last quarter. When something is expected back in stock.

Hands off to a person. Ask for a human at any point and you get one. Some orders and some questions belong with your account contact, and the assistant is built to know the difference.

What it will not do

It will not answer questions about dosing, administration, human use or effects. Our products are research materials and the assistant is built to say so and to connect you with a person for anything outside ordering and documentation.

It will not invent a product, a price or a lot. If it cannot find what you asked for in your catalog, it asks you rather than guessing.

It will not submit an order without your confirmation, and it will not change an order after confirmation without a new confirmation.

It will not pretend to be a person. It tells you it is an automated assistant at the start of every conversation and every call.

How it is built, in the terms your IT reviewer will ask about

The assistant runs on the OpenAI API. OpenAI states that "as of March 1, 2023, data sent to the OpenAI API is not used to train or improve OpenAI models (unless you explicitly opt in to share data with us)," and that "by default, we do not train on any inputs or outputs from our products for business users." We have not opted in, and we will not.

OpenAI's API platform has been audited and certified for SOC 2 Type 2 compliance. Data is encrypted at rest with AES-256 and in transit with TLS 1.2 or higher. OpenAI removes API inputs and outputs from its systems after 30 days unless legally required to retain them, and offers zero data retention for eligible use cases. These statements describe OpenAI's platform; ReVia's own security practices are described in our partner terms.

Your account data stays yours. The assistant reads your catalog, pricing, orders and certificates from ReVia's systems and writes back only the orders you confirm. Your data is not used to train any model, and it is not shared with other accounts.

Every conversation is logged to your account, so you can see what was asked, what was drafted, what was confirmed and by whom.

Orders are structured, not free-typed. The assistant fills a fixed order form that our systems validate against your catalog and pricing before anything is submitted. OpenAI's Structured Outputs feature, which the assistant uses, scored 100% on OpenAI's complex-schema evaluation.

Some orders are held for a person. First orders on a new account, orders above a threshold you set, and any order involving a product under regulatory review are checked by a member of our team before they are released.

What a conversation looks like

You: "Repeat our August order and add ten of the TB-500, 5 mg."

Assistant: "Here is the draft. Twenty BPC-157 5 mg, twenty KPV 5 mg, ten TB-500 5 mg, shipping to your Denver address, expedited, total on your account pricing shown here. Lots and certificates are attached. Confirm, change, or cancel?"

You: "Change the KPV to thirty and confirm."

Assistant: "Updated: thirty KPV 5 mg. Order confirmed and submitted. It will dispatch today before our 2:00 PM Eastern cutoff. Your confirmation is on its way by email."

You: "What is the certificate on that TB-500 lot?"

Assistant: "Lot [number] was tested on [date] by [laboratory]. HPLC purity, identity, quantity and heavy-metal results are listed on the certificate, which I have attached to your order and to this conversation."

You: "How much of it should I reconstitute for a study?"

Assistant: "I can't help with that. Our products are research materials and I only handle ordering and documentation. If you would like to speak with your account contact, I can connect you now."

Questions partners ask

Can it place an order on its own?

No. It drafts; you confirm. Every time.

Does it know my pricing?

Yes. It reads your account, so it quotes your prices and nobody else's.

Is my data used to train AI?

No. Not by OpenAI, under the API policy quoted above, and not by us.

What if it misunderstands me?

The read-back catches it. Change any line before you confirm, or ask for a person.

Can several people at my organization use it?

Yes. Each user has their own login, and each order shows who confirmed it.

Can I still email or call a person?

Always.

COUNSEL AND BUILDER NOTES FOR THIS PAGE

- The three OpenAI quotations are verbatim from OpenAI's developer documentation, data-use policy and enterprise privacy page; keep them as quotations with links so they are OpenAI's claims, not ReVia's. [14, 15, 16]

- The Structured Outputs figure (100% on OpenAI's evaluation) is OpenAI's own; keep the attribution. [17]

- The refusal behaviour in the sample exchange is the compliance control that matters most; log it and test it before launch. [9]

- The "tells you it is an automated assistant" line satisfies the disclosure norm the EU AI Act sets for chatbots and agents from August 2, 2026 and is consistent with FTC guidance that AI carries no exemption from consumer-protection law. [18, 7]

- Human-review thresholds mirror the "configurable automation thresholds" in OpenAI's Choco case study. [19]
